The migration process can be broken down into three key stages:
1. Back up your Publisher videos
We want to make sure you don’t lose any videos during migration. The Publisher Backup Tool will need to be downloaded and run on your Publisher Server (Master instance) to move videos from your ClickView Publisher into the Publisher Archive in the cloud.
You may need to contact your IT Administrator to help with this part.
2. Select your migration option
The Migration Assistant will provide you with 3 options to move videos from your Publisher Archive into Library Editor.
3. Make your library available
You’ll be able to preview Library Editor and still have access to your Publisher. To use Library Editor and allow staff and students to access your new library, make it available.
This will begin the process of switching your ClickView Publisher off.
Forgot to move some videos to Library Editor?
If you forgot some videos, don't worry! You can still access the Publisher Archive and move more videos into your new library even after you've switched your ClickView Publisher off.
Migrating Videos from Publisher
What will happen to Publisher?
Current ClickView customers can continue to use any existing installed instances of ClickView Publisher, however we will no longer be adding new features.
What happens to the Publisher videos?
You will be given the opportunity to select from different migration paths. ClickView Publisher can be used alongside the new Library Editor during the previewing stage. Once you are happy with the new Library Editor you can migrate your content and stop using ClickView Publisher.
Do we need to backup our Publisher videos?
You will be asked to download and run a backup tool for your Publisher videos before you build your new Library on Library Editor. The backup tool is used to ensure that all Publisher videos are saved to Publisher Archive.
The Publisher Backup Tool must download on your Publisher Server. The Publisher Server will require Internet Explorer 11 or Google Chrome.
Where is the backup saved?
All your Publisher videos will be backed up to Publisher Archive which means that it can be accessed at any point and is securely stored.
How are videos migrated from Publisher to Library Editor?
When you are ready to migrate your videos, you will be able to select from three different migration paths.
- Migrate All: Move all Publisher videos into your new library on Library Editor.
- Smart Migration: ClickView will intelligently select -
- Videos accessed within the last 3 years to migrate including viewed, shared, has interactive, is in a playlist, and is embedded.
- Videos uploaded and added into your Publisher Library in the last 6 months.
- All videos in a series if at least one video has been accessed.
You may review these videos and select more before the migration occurs. If you wish to revisit any videos you may have missed, you can always return to the list of videos in Publisher Archive.
- Start Fresh: Move all Publisher videos into Publisher Archive and start your new library with a blank state. You can return to the list of videos in Publisher Archive at any time.
Will my library folder structure be migrated?
Your library folder structure will be kept and migrated across.
Will my playlists be affected from the migration?
We will maintain your Playlists so long as those videos have been migrated across. If the videos are from the ClickView libraries they will also remain in the playlist.
What will happen to ClickView titles?
The Publisher Backup Tool will identify which programs are distributed and produced by ClickView. These titles will not be migrated over so you will no longer have duplicate copies when searching on ClickView.
How long will the migration take?
We estimate 1 - 2 hours for 4000 videos.
What will staff and students see during migration?
Staff and students will continue seeing your Publisher library. They will only see your new library in Library Editor when you 'make it available' in step 3 of the migration process. Making the library available means Publisher will be switched off and you'll get the new search!
What happens if an item fails to migrate due to technical issues?
The Publisher Backup Tool will give you the reasons for the error (view possible error messages here). You will be able to export the errors as a csv file during the backup and fix any issues.
After you may run the Publisher Backup Tool again.
What happens if staff 'add to library' during migration?
ClickView Publisher is still accessible up until you make Library Editor live. However, if a teacher add's videos to your Publisher you may continue your normal process on Publisher and sync to ClickView Online. After, you will need to rerun the Publisher Backup Tool to have the new video appear in Library Editor.
Alternatively, you can communicate to staff to not add to library till after the migration. Once Library Editor is live videos added to library will appear in Staff Requests.
What data will be migrated across for ClickView Videos?
In terms of the data that will be brought across for Publisher based videos please refer to the list below:
- Duration (will be recalculated from video file)
- Share codes
What is Publisher Archive?
Publisher Archive is created during the first step of the migration process. The first step is running the Publisher back up tool, this ensures that all your Publisher videos are being stored in the cloud.
How long will my videos be stored in Publisher Archive?
After choosing 'Start Fresh' or 'Smart Migration', your Publisher Archive will be available even after switching ClickView Publisher off. So, even if a teacher forgets to migrate a video, you may revisit Publisher Archive and migrate the video at a later date.
Please note: Publisher Archive will only be accessible for those who select 'Start Fresh' or 'Smart Migration'.
Where is Publisher Archive stored?
Publisher Archive is stored in the ClickView server.
