This tutorial will familiarise users on how to create Staff and Students accounts for ClickView Online within ClickView Online account administration.
Accessing your institution's ADM account
To access ClickView Online Account Administration, please browse to the following address:

As administrators, you just need to log into ClickView Online using your normal user account. From there you can select your name in the top right corner of the screen and select "Settings".
If you do not see this setting, please contact ClickView Customer support for further assistance.
Once you arrive on the Settings page, select either "Teachers" or "Students" from the User Management sidebar heading.
After selecting the relevant user type from the sidebar, click on Download the Excel template.
This will initiate a download of a .CSV (Microsoft Excel) spreadsheet template. Save this to a suitable location.
Open the file with Microsoft Excel (or equivalent spreadsheet software that can open .CSV files). You will see this template contains various fields, depending upon whether it is a Student CSV template or Teacher CSV template.
- First Name
- Year Group (in the format Year X).
Note: For Kindergarten, please use the word Kindergarten, instead of Year 0 or Year K.
Note: All of these fields must be completed. The syntax of the spreadsheet is important, and as a result, it is important that you specify Year and the users' respective year group when adding them in to the spreadsheet. For example, the below screenshot shows John Jones who is in year 8. The spreadsheet syntax says 'Year 8'. It is not written as '8' or 'Eight' or 'Yr 8'. If the correct syntax is not used, then it will not be able to be imported.
You will see this template contains 3 fields:
- First Name
- Last Name
Please complete the spreadsheet - all of the three fields in this spreadsheet must be completed.
Importing the Template into ClickView Online
Once the spreadsheet has been filled, save the .CSV and close the .CSV editing software (i.e. Microsoft Excel). Ensure that the file is saved as a .CSV. Go back into the Online Account administration, then click on Manage Students or Manage Teachers, then Add New users from Excel:
Note: This process currently requires Microsoft Silverlight, if you see a box that says Install Microsoft Silverlight, click on the box. Click Install Microsoft Silverlight and go through the prompts. You may need to restart your browser before logging back into Online Account Administration. Add new users from Excel should now be present (if Microsoft Silverlight has been installed correctly). Click on it. This will bring up a dialog box requiring you to specify the location which you saved the CSV file to.
Browse to the location of the filled out CSV and double click on it to begin the import process. The students or staff members specified within the spreadsheet will have their accounts created in ClickView Online.
If you are experiencing issues uploading this file, ensure that the spreadsheet is closed and that the location of the CSV file is local to your machine (i.e. not on a network location).
Once this process is complete, you will be able to see all the created Student accounts or Staff accounts.
Should a user already exists, the year group/name will be updated by the CSV file.
As of ClickView Online 6.7.0 (released 09/10/2017), Students and Teachers are sent an activation e-mail when their account is created from the CSV file. Should you need to resend an activation link, you can do so by completing the steps below.
Within the Students section, you will see there is a box that says email selected users. This allows you to send an e-mail out to the users selected with the tick boxes. In addition to this, you can specify for up to 100 users to appear per page by clicking on the *** Item(s) per page box. Click on Select all contacts and then Email selected users. This will e-mail all users on the page with an activation e-mail where they can set a password for ClickView Online use.
Note: If you find Students are not receiving their e-mail, please contact your IT department to ensure your institutions e-mail filter is not blocking e-mails coming through. As this process usually entails hundreds of e-mails being sent, it is not uncommon for e-mail servers to flag the e-mails as spam. ClickView recommends creating a white-listing rule on your e-mail server for any e-mails received from *clickview.com.au (if in Australia) or *clickview.co.nz (if in New Zealand).
From the User Management section in the settings option within ClickView Online, click Add Student or Add Teacher respectively.
This will present the box below:
From here we can complete the mandatory fields:
Once you are happy the details are accurate, click the Save box.
You will notice there is a field entitled 'Administrative account' within the Add Teacher dialog box. This will give the teacher additional privileges that other Teacher accounts may not have, such as the ability to add tags within Albert.
Note: A password must be set within here by default. Ensure the user is made aware of the password which has been set. Alternatively, follow the steps below to email the user and allow them to set their own password.
The user account will then be created. You can then click the E-mail envelope alongside the user account to send an e-mail to the user:
The user will then receive an e-mail with a hyperlink. Upon clicking on the hyperlink, the user will be prompted to set a password of their choice. From here they can access ClickView Online using their e-mail address and the password they have set.
To delete a user's ClickView Online account, click on the Students or Teachers page within the ClickView Online Settings option.
Tick the user that you wish to delete.
Then select 'Delete Selected Users'.
Confirm by selecting 'OK'.
The user(s) will now be deleted from the list of ClickView Online users for your institution.
Deleting videos from within a Student's Workspace
To view and manage a students workspace, click the Students optionwithin ClickView Online Settings page.
Find the student you wish to manage and select Manage User.
The user's account information will be displayed. The video's within the students workspace are also displayed. From this page, any student videos can be deleted if necessary.
To delete a video, click on the trash button illustrated below.
The video will then be deleted from the students workspace.
